Group Onboarding

This communication is targeted at the Group Administrator (Group Leader / Assistant Group Leader / Membership Officer) assisting in the roll out of Consent2Go for the Scout Group.

Your Scout Group is now setup and ready to launch with Consent2Go - our new Health data management system.
The articles in this knowledge base will help support usage of Consent2Go.


Group Administration
The system is administered at a Group level by the Group Leader / Assistant Group Leader / Membership Officer permission - users should have one of these positions registered in MyScout to access this group level functionality.
When your group is setup your administrators will receive emails with your  temporary login details via your Scouts SA email address.
Login using these details and setup your account.


Signing in
Login using your Scout email address and MCB password you've setup/been provided with.


Configuration, validation and checks
Review the Participants list (synced from MyScout) to confirm members are all present (ICT staff will also cross check)
Setup participant groups (Participant Groups, Add Participant Group). These may be pre-defined or can be adjusted as necessary
Click into the participant group and add participants to the relevant group.

Staff
All Adults will be requested to setup a participant profile
This ensures their health information is captured and allows future registration at events
All Leaders will be setup with a Staff login to access participants at a staff level function (access to records etc). This will be via their Scouts SA email address.
If additional adults in the Group need a Staff access please request this via ithelpdesk@sa.scouts.com.au 


Example communication to issue to families

Scouts SA is rolling out a new system to replace Operoo that we have been using for a number of years.
This system is called Consent2Go and is very similar in a number of ways to Operoo, but is also different and has some different functionality.
Consent2Go is used in a number of schools already (and many more since Operoo closed up shop!)

You'll shortly receive a profile invite to setup your profile for your child in this new system so we can get up and going with it.

There are a number of resources to help support this being rolled out and accessible via https://scoutssa.zohodesk.com.au/portal/en/kb/consent2go/parent-resources - this includes details on updating profiles, the Consent2Go app and profile sharing with other parent/guardians.

I would welcome any feedback on these resources and the process in general when you've had a chance to look into it.

Our plan is to use this for activity RSVPs over the next few weeks so if you can jump in and setup your child's profile over the next few days it would be appreciated.
