Group Leader - Quick Reference Guide
Terminology
Participant = Youth Member
Staff = Leader
Year Level = Section (e.g. Joeys, Cubs)
Incursion = Activity held at the Hall
Excursion = Activity held away from the Hall
Participant Group/Team = Groupings of Participants such as Units, patrols, or activity-based groups
Group Management
Group Leaders (GLs) can:
• See Participants in all Units in the Group.
• Assign Staff (Leaders) to the correct Year Level (Section)
If Section Leaders (SLs) report that they cannot see their Youth Members, this usually indicates the SL has not been assigned to the correct Year Level.
Initially, SLs will be able to see all Youth Members in the Group; this access will be restricted in the future to Youth Members in their Section only
Adding Youth Members (Participants)
Membership data is entered into Consent2Go through the data from MyScout.
Youth members can be edited (moved sections and basic details updated) at the Group Level.
Participants Groups
Participant Groups help Leaders manage Units and other event/activity groups.
GLs or a delegate should:
• Ensure each Unit has a clearly named Participant Group
• Add Participants into the correct Group.
• Add Leaders as Staff into the correct Group
Creating a Participant Group
1. Select Add Participant Group.
2. Enter the required details.
3. Open the new Participant Group.
4. Select Add Participant.
5. Add Youth Members into the group from the list.
6. Add Leaders that belong in the group as Staff.
Participant Groups can include youth from more than one Unit, but the GL may, depending on permissions, need to assist (e.g. adding a linking Joey to the Cub Unit’s Participant Group).
Events
GLs may create events or support Section Leaders to create multi-unit events.
There are two ways to create an event:
1. New Event - better for individual events if you want RSVPs.
2. Meeting Management - better for tracking attendance for the Term program but you can use it to create an event.
Creating New Events
• Go to Events → New Event +, select event type.
• Enter required information.
• Once the event is created, return to the home page to send invites.
Events using Meeting Management
• Open the Participant Group.
• From Meeting Management, you can create a single activity or a series of activities.
