Parent/Guardian Information sharing

Parent/Guardian Information sharing

To ensure privacy and clarity in the management of student records, Consent2Go provides an option for parents/guardians to control whether their information is shared with the other guardian within Consent2Go. Each parent/guardian profile has an "Information Shared" setting, which can be set to either Yes or No.

Yes: If set to "Yes," Guardian 2 will have access to view the details of the Guardian 1 who has opted to share their information.
No: If set to "No," Guardian 2 will not be able to see any details for Guardian 1.

This feature is designed to give parents/guardians control over their privacy while ensuring the necessary information is accessible by Scouts for effective communication and event management.

This option is always set to No by default. Guardians must opt in to this, as the system will never assume information can be shared. This can be changed via a profile update or event invite, by editing the toggles in the question shown below.

Parent/Guardian Profile Details

The information captured for parent/guardians within Consent2Go is customisable by the school, so may be different in each scenario.
Generally speaking, parent profiles contain the below information:
Title, First & Last Name
Work or Mobile Number
Email
Address
More fields may become available depending on your school.
This information is able to be shown or hidden from the other guardian using the feature described above.

Student Profile Information

With the exception of the parent profile mentioned above, all other information visible in a student’s profile update or event invite can be seen by both guardians.
This includes:
Emergency Contacts
Student Care Details, e.g;
Non-medical dietary requirements
Medicare card details
Private health or medical contact information
Swimming ability
Immunisation status or documents
Student Medical Conditions & Action Plans
School-based Permissions, e.g.;
Over the counter medication
Photo permissions

Summary

There are 5 stages in a profile update:
Stage 1 - Contains the guardian profiles. If the parent has opted into sharing their information these details will become available to the other guardian. This stage also contains Emergency Contacts that are visible to both guardians on file.
Stages 2 to 4 - These contain the student’s care details, medical conditions and permissions and are visible to both parents on file.
Stage 5 - This shows a summary of the visible information and allows the parent to submit the profile update.
