Section Leader - Quick Reference Guide

Terminology

For now there is some school based terminology to be aware of
Participant = Member (both Youth and Adult)
Year level = Section
Staff = Adult Leader / Adult role in the system
Participant Group/Team = Unit, Patrol or Project Patrol

Group Management

Section Leaders are linked to their own section
This allows you to view health information for youth members in your unit
There is a separate year level for adults who need health information recorded.


Youth Member Visibility

To see youth members in your unit:
  1. Select participants from the menu
  2. Use the search bar/filters to fnid a youth member
  3. Select the arrow (>) to view parent and emergency contacts, medical information

Adding and Maintaining Youth Members

Membership data is entered into Consent2Go through the data from MyScout.
If there are members in your Group who do not show please contact ithelpdesk@sa.scouts.com.au to raise a ticket.

Youth members can be edited (moved sections and basic details updated) at the Group Level.

Participant Groups

These are your Units that members will appear in.
Participant groups can be updated and edited by the Group Administrator.

Events

Consent2Go has two functions for events
New Event - better for individual events to RSVP for
Meeting Management - can be used to enter a term program and used for attendance.

Neither of these option is 100% perfect at this point in time. You should use the event for an activity that requires consent/permission to be provided by the parent.
Consent2Go are working with Scouts to better refine this for our purposes in the future.

New Event
Go to events, new event and select event type.
For initial roll out we recommend selecting LOW RISK and EXCURSION

Other options can be chosen but are not fully setup at this point in time.
Enter required information
Once the event is created return to the home page where you can then send invites.


Attendance using Meeting management

  1. Open the Participant Group
  2. From Meeting Management you can create a single activity or series of activities
  3. Please note terminology here is sporting based
  4. Enter the date, time and venue
  5. Put "X", "N/A" or similar in the Opponent School field
  6. Mark attendance from the Meeting Management front page
