The A1 licence type for volunteers at Scouts SA
does not give
you the ability to install Microsoft Office desktop apps. To access emails via
a PC or laptop, visit
https://outlook.office.com via a
web browser such as Microsoft Edge or Google Chrome.
However, if you already have a licensed copy of Outlook on your PC (from
some other licence, e.g. Office 2019/2021, M365 Apps via another plan, etc.),
you can connect that licenced Outlook client to the Exchange Online
mailbox that’s licensed with A1.
Why that is allowed.
The A1 Licensing splits into two parts:
Server/service
licence
- in this case, Exchange Online Plan 1,
which is included in A1. That gives the user the right to an Exchange
mailbox.
Client
app licence
- the right to run the Outlook desktop
application on the device. A1 does not provide this. But if you have
bought Office separately (perpetual or another subscription that includes
the desktop apps), that client licence is covered.
How to connect your desktop Outlook app if you pay for
your own licence
Scouts do not provide a licence to use the Outlook desktop app to all users. However, if you have your own licence, you can add the account in Outlook Classic mode.
Ordinarily, you should be able to add your Scout email without an issue
via the standard “add
account” feature within Outlook. There
are a few tricks here first.
- Open Microsoft Word
- In the top header bar towards the right, click on your head/initials and “add an account”
- If prompted, sign into this app only
- Add your Scout email in here as a user
- Close Microsoft Word
- Now open Outlook
- Under File, click “add an account option”
- You should be able to add your account here.
What to do if you already have a Scout email and it is the “primary” account
according to Outlook?
You need to create a new profile.
Press the ‘Windows’ key + ‘R’ simultaneously
- Type ‘control’ and press enter
- Click on ‘User Accounts’
- Click ‘Mail (Microsoft Outlook)’
- Click ‘Email Accounts’
- Highlight your Scout
email account and click the
- ‘Remove’ button
- If
you get and error and the system won’t permit, go to
the ‘Profile’ section below
- Add your Scout
email here
- Click ‘Close’
- Click ‘Close’
again, then start up Outlook
Profiles
Profiles are a safe way to make changes to your Outlook
without deleting your mail, or
impacting other mail accounts on the system.
Click on the ‘Show Profiles’ window (from above image)
Change the radio button to ‘Prompt for a
profile to be used’
Click ‘Add’ to create a new profile.
We can call this “Scouts”
Enter your Scout email
address on the pop-up. Note it is only necessary to enter your email
address, other fields are not required.
Click ‘Next’. If you completed the steps above the system will find your account.
If Prompted, use the sign-in method.
Click 'Finish'.
When you start your email, you will be prompted for which profile to use.
Select the relevant profile (select 'Scouts' if you labelled it Scouts in the steps above) and then 'OK' and your email will start.
